Privacy policy

What we do with your information, in plain English. The short version: we use it to answer you and to look after your car, and we do not sell it.

Who we are

This website is operated by TMC Motors Ltd (company number 12747632), trading as Team Mercedes Cardiff, of TMC Motors Ltd, Cardiff Marine Village, Penarth Road, Cardiff CF11 8TU. We are the data controller for the personal information described in this policy.

What we collect

When you send an enquiry through this website we collect your name, and whichever of your phone number and email address you give us, along with your vehicle registration or description and whatever you tell us about the work you need.

If you enter a vehicle registration, we send that registration to the DVLA Vehicle Enquiry Service to retrieve public vehicle data such as make, colour, fuel type and MOT expiry date. We do not receive any personal information about you from the DVLA through that service.

When you become a customer we also hold the records needed to service and repair your vehicle, including your contact details, vehicle details and a history of work carried out.

Like most websites, we collect basic analytics about how pages are used. Where that involves cookies, see our cookie policy.

Why we use it, and our lawful basis

To answer your enquiry and to quote for work. Our lawful basis is that this is necessary to take steps at your request before entering into a contract.

To carry out work on your vehicle, to invoice you and to keep the service records that go with it. Our lawful basis is performance of a contract, and for the record keeping, our legitimate interest in maintaining accurate service histories and complying with our own legal obligations.

To keep our website secure and working, and to understand which pages are useful. Our lawful basis is our legitimate interest in running the site properly.

We do not add you to a marketing list from an enquiry. If we ever send marketing, it will be because you asked for it, and every message will carry a one-click unsubscribe.

Who we share it with

We do not sell your personal information, and we do not share it for anyone else's marketing.

We use a small number of service providers who process information on our behalf: our website host, our email delivery provider, and our analytics provider. They act on our instructions and are not permitted to use your information for their own purposes.

We may disclose information where we are legally required to, for example to the DVSA in relation to MOT records, or to insurers where a claim arises.

How long we keep it

Enquiries that do not become jobs are kept for up to twelve months, so we can pick up the thread if you come back to us.

Customer and vehicle records are kept for six years after the last piece of work, which matches the period in which a claim could be brought and our accounting record obligations.

Your rights

You have the right to ask for a copy of the information we hold about you, to have it corrected if it is wrong, to ask us to delete it where we no longer need it, to object to or restrict how we use it, and to ask for it in a portable format.

If you are not happy with how we have handled your information, you can complain to the Information Commissioner's Office at ico.org.uk, or on 0303 123 1113. We would rather you came to us first so we can put it right.

Security

This website is served over an encrypted connection. Enquiries are transmitted to us over that connection and stored in our email systems, which are access controlled. We keep the number of people who can see your information to those who need it to do the work.

Changes

If we change this policy we will update the date at the top of this page. Material changes will be flagged on the website itself.
